Job Summary
ACT International is seeking a detail-oriented and proactive Procurement Assistant for the School Meal Project in Quetta. The position is responsible for supporting procurement activities, vendor coordination, purchase processing, documentation, and ensuring timely availability of food commodities, packaging materials, and operational supplies in line with organizational policies and donor requirements.
The role ensures transparency, accuracy, and compliance in procurement processes while supporting smooth supply chain operations for kitchen and field activities.
Key Responsibilities
- Assist in the implementation of procurement plans for food commodities, packaging materials, and operational supplies.
- Support preparation of purchase requisitions, purchase orders, and procurement documentation.
- Coordinate with vendors for quotations, price comparisons, and timely delivery of goods.
- Maintain updated vendor database and assist in vendor evaluation and selection processes.
- Follow up on pending orders and ensure timely procurement and delivery of items.
- Verify received goods against purchase orders, invoices, and delivery notes.
- Maintain proper procurement records, filing systems, and documentation for audits.
- Support inventory and stock-related coordination with warehouse and operations teams.
- Ensure compliance with organizational procurement policies, donor guidelines, and transparency standards.
- Assist in preparing procurement reports and summaries for management review.
- Coordinate with finance, operations, and logistics teams for smooth procurement processing.
- Report procurement delays, discrepancies, or issues to the Procurement Officer promptly.
Qualification & Experience
- Bachelor’s degree in Business Administration, Supply Chain Management, Commerce, or related field.
- 4–5 years of experience in procurement, supply chain, or administrative support roles (NGO/INGO experience preferred).
- Basic understanding of procurement procedures, vendor management, and documentation processes.
