About the role:
The Admin and Finance Officer will support the Green Church Initiative Phase II project by ensuring efficient administrative operations and financial management. The role involves handling day-to-day administrative tasks, managing project finances, maintaining accurate records, and ensuring compliance with organizational policies and financial standards. The Admin and Finance Officer will collaborate with project teams, manage resources effectively, and support the smooth implementation of project activities.
About the Project:
PMS is going to implement the Green Church Initiative Phase-II project in Faisalabad, targeting 10 local churches across both urban and rural areas, with an expected impact on 24,500 individuals at the household level. The initiative will engage local influencers, religious and community leaders, and relevant stakeholders, including NGOs, academia, and government departments, to promote environmental sustainability and social empowerment.
Your impactful goals will include:
- Liaise with the government as assigned and with other local authorities about any issues related to Office permits, NOC, tax, public fees, and other public obligations.
- Assist the Project Manager and other teams/staff in daily administrative routine, ensuring the smooth running of the office and project.
- Ensure logistics procedures are followed in accordance with PMS procurement guidelines, including collecting quotations and preparing purchase request forms and purchase orders.
- Regularly review and update office equipment/inventory.
- Manage the repair, servicing, and maintenance of office and field equipment and furniture; maintain the system for efficient use. Update vendors and services.
- Monitor and control project expenditure in line with the agreed budget and coordination with the Project Manager.
- Check, verify, and process financial documentation, including orders, invoices and payments to vendors, and reimbursement to office staff/consultant in accordance with PMS policies and procedures.
- Manage field office petty cash and bank accounts.
- Conduct/review project cash books and submit them to Head Office’s corresponding accountants for review and post to financial software.
- Prepare project monthly expenditure report.
- Reconcile cash/bank and expenses/income accounts.
- In charge of monthly fund transfer requests to Headquarters and transfers of the fund to the field office.
- Support internal and external audits.
- Liaison with HQ for any financial matters.
What we are looking for:
Education& Knowledge
- Masters in Finance/ Accounting, Business Administration, or related field.
Work Experience
- 2 to 3 years of Finance and Administration Experience.
- NGO/INGO experience will be preferred.
