An international non-governmental organization (INGO) is currently seeking a motivated and detail-oriented individual for the position of Junior HR/Admin Officer at its Islamabad office.
General mission
The Junior HR/Admin Officer will support the Country HR Manager at the Islamabad level in executing and maintaining HR operations in accordance with the organization’s HR policies, national labor laws, and administrative practices. The role involves day-to-day HR administration, staff support, coordination with external stakeholders, and documentation handling, ensuring accuracy, confidentiality, and compliance
Position Title: Junior HR Officer
Job Location: Islamabad, Pakistan
Reports to: Country HR Manager
Working Hours: 40 hours/week (As per internal staff regulations)
Time Allocation: 100% of total working time dedicated to responsibilities outlined below
Objectives/ Responsabilités (*)
Objective 1: Staff Attendance Management
- Monitor and maintain staff attendance through the biometric system (recording in/out times).
- Maintain accurate and up-to-date leave records using the organization’s HR application/system.
- Coordinate with line managers to track and validate staff leave requests and balances.
- Generate periodic attendance reports for review by the Country HR Manager.
Objective 2: Assistance with Medical Insurance Claims
- Provide support in compiling, verifying, and submitting medical insurance claims for staff to the insurance provider.
- Ensure timely follow-up with the insurance company for claim processing and reimbursements.
- Maintain an organized record of all claims submitted and reimbursed, ensuring confidentiality of employee health information.
Objective 3: Payroll Documentation and Payslip Management
- Distribute monthly pay slips to all staff and ensure acknowledgment/signatures are obtained.
- Maintain a signed record of pay slips for internal audit purposes.
- Coordinate with the finance regarding discrepancies or staff queries.
Objective 4: Liaison with Government Authorities
- Assist the Country HR Manager in coordinating with government institutions (e.g., MOI, EOBI, Labour Department and other national and provincial institutions) for HR-related matters.
- Support with documentation and representation during government audits or official visits.
- Stay informed on relevant regulations and support compliance activities.
