Role Purpose:
The Admin & Logistics Assistant ensures smooth operational and administrative support for the e-Voucher project in Jaranwala, managing logistics, procurement, and office administration to facilitate efficient program delivery. This role is critical for maintaining asset security, inventory accuracy, and compliance with organizational and donor policies.
Key Responsibilities:
1. Logistics & Procurement Support
- Manage procurement processes for office supplies, IEC materials, and equipment, ensuring compliance with ACT procurement guidelines.
- Maintain inventory records of project assets and conduct quarterly audits.
- Coordinate with vendors/suppliers for timely delivery of goods/services and maintain payment documentation.
- Arrange logistics for field activities (e.g., vehicle rentals, fuel, staff travel).
2. Office Administration
- Oversee daily office operations, including maintenance, utilities, and security services.
- Manage stationery, staff attendance, and meeting schedules.
- Prepare travel authorizations, perdiem payments, and accommodation arrangements for staff/visitors.
- Maintain filing systems for contracts, reports, and compliance documents.
3. Event Management Support
- Assist in organizing training workshops, donor visits, and community events (e.g., venue booking, material preparation).
- Support E-Voucher distributions by ensuring availability of supplies (e.g. beneficiary cards.
- Track distribution center stock levels (e.g. cards, charts ,banners,flyers) and replenish as needed.
4. Compliance & Reporting
- Ensure adherence to financial and logistical policies (e.g., ACT procurement thresholds or asset guidelines).
- Prepare monthly logistics reports (fuel usage, inventory status, procurement tracking).
- Assist in audit preparations by providing requested documentation.
Required Education:
- Bachelor’s degree in Business Administration, Supply Chain Management, or related field.
Experience:
- 3+ years in admin/logistics roles, preferably in NGOs or humanitarian projects.
- Familiarity with procurement processes, inventory management, and fleet coordination.
