Job Summary:
The Assistant Manager – Projects is responsible for providing support to the Project Manager in the planning, coordination, and execution of various projects. This role involves assisting with the day-to-day management of project tasks, maintaining schedules, managing resources, and ensuring that all project milestones are met efficiently. The Assistant Manager will also serve as a liaison between team members, stakeholders, and the Project Manager to ensure smooth communication and timely project delivery.
Key Responsibilities:
- Assist in developing and reviewing detailed project plans, including timelines, budgets, and resource allocation.
- Support the Project Manager in defining project objectives, deliverables, and scope.
- Help create and maintain project schedules, ensuring that deadlines are met.
- Coordinate with internal teams to ensure resources are allocated appropriately.
- Provide day-to-day support to project teams, assisting with task assignment and tracking progress.
- Foster effective communication among team members and stakeholders.
- Organize and attend regular project meetings to review progress and provide updates to the Project Manager.
- Assist in the resolution of team conflicts and ensure that project tasks are being carried out efficiently.
- Maintain accurate project documentation, including schedules, reports, meeting minutes, and action items.
- Support the Project Manager in preparing and presenting regular progress reports for stakeholders.
- Ensure proper documentation of all project activities and ensure information is up to date.
- Track project deliverables and ensure they meet quality standards.
- Assist with resource planning and allocation, ensuring team members have the tools and support needed.
- Monitor project budgets and expenses, ensuring that projects stay within financial constraints.
- Assist in preparing budget reports and forecasts for ongoing projects.
- Track and report any deviations in resource utilization and project costs to the Project Manager.
- Identify potential project risks or issues and escalate them to the Project Manager.
- Assist in implementing risk mitigation plans and monitoring their effectiveness.
- Help resolve project issues and remove obstacles to ensure smooth project execution.
- Serve as a secondary point of contact for clients and stakeholders on project-related matters.
- Communicate project progress, challenges, and successes to stakeholders under the guidance of the Project Manager.
- Ensure that client requirements and expectations are being met, escalating any concerns to the Project Manager.
- Ensure that all project deliverables meet the required standards of quality and compliance.
- Assist in organizing quality assurance checks and audits.
- Support the team in identifying areas for process improvement and implementing corrective actions when necessary.
- Handle administrative tasks such as scheduling meetings, managing project-related correspondence, and organizing project documentation.
- Assist in coordinating logistics for project-related events, meetings, or site visits.
- Provide any additional support to the Project Manager as needed to ensure the project's success.
- Track and monitor project milestones and timelines.
- Ensure that all project tasks are completed according to the planned schedule.
- Assist the Project Manager in addressing delays and ensuring the project stays on track.
Qualifications:
- Education:
- Bachelor’s degree in Project Management, Business Administration, or a related field (Master’s degree preferred).
- Experience:
- Minimum of 5 years of experience in project management or a related role.
- Proven experience supporting projects in various stages (planning, execution, and closure).
- Experience with project management tools and software.
- Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency with office software (Microsoft Office Suite, Google Workspace, etc.).
- Ability to work well under pressure and manage multiple tasks simultaneously.
- Problem-solving skills and attention to detail.
- Ability to work effectively in a collaborative, team-oriented environment.
